STEPS TO RENTING A PROPERTY WITH THORNLEY GROVES

Whether it’s your first move or your fiftieth, at Thornley Groves we know that moving can be one of the most stressful experiences you will have. To try and make it a little easier we would like to offer a little guidance on how the Lettings process works.

Join us as we follow ‘Mr & Mrs Taylor’ on their journey from viewing to completion…

STEP ONE: Viewing

Picture the scene, it’s a beautiful sunny Manchester morning and Mr & Mrs Taylor arrive for their property viewing where they are greeted by a smiling Thornley Groves Lettings Consultant.

They are shown around each room and are given the basic information about the property. This information includes:

  • The rent payable per month.
  • The level of deposit.
  • When the property is available to move in to.

After giving all the relevant information about the property, our Consultant asks Mr & Mrs Taylor if they have any questions. Good questions to ask at this point would be:

  • Who manages the property? Is it Thornley Groves or the Landlord?
  • What furniture is included?
  • What is the minimum length of Tenancy?

Mr & Mrs Taylor decide that they like the property and have answers to all their questions, so they now want to make an application. They can either do this with the consultant in the office (depending on their availability), or take away an application form to complete and return via email/drop into the branch.

STEP TWO: Making an Offer

Mr & Mrs Taylor have filled out the application form over a cup of coffee, supplying the following details:

  • Full Names, Date of Births, Addresses and Nationality of each person moving into the property that is over the age of 18.
  • Details of any pets? Smokers? Or bad credit? Keep in mind that you’re better off letting us know in advance about this so we can discuss it with the Landlord or build in any special clauses to the Tenancy Agreement.
  • Proposed length of Tenancy (bearing in mind the minimum length of Tenancy).
  • Employment details for each working adult including; Job Title, Company Name, Length of Service, Annual Salary (or other relevant details for self-employed, retired or student income status).
  • Any requests of works/redecoration to be carried out at the property prior to move in date?

Once these details have been provided, it’s over to us!

We will get in touch with the Landlord of the property and tell them about Mr & Mrs Taylor’s offer. As soon as we get a reply, we will call Mr & Mrs Taylor to advise them of the outcome.

STEP THREE: Fees and IDs

Mr & Mrs Taylor got the property they wanted!

Now, the next step is to pay the application fees and supply documents to prove their Right to Rent in the UK. The fees to be paid are based on how many adults over 18 will be moving into the property:

Application Fees 1 Applicant £228.00
2 Applicants £348.00
3 or More Applicants £456.00
Guarantor Fee (where required) Per Guarantor £120.00
Reservation Fee 50% of the first month’s rent (This forms part of the first month’s rent)

The fees can be paid in the office or over the phone via debit/credit card or in cash. We would advise you to keep in mind that cash and credit card payments are subject to an additional 3% administration charge.

Before Mr & Mrs Taylor can continue with their application, they need to bring into the office two forms of ID; one photo ID and one proof of address. A photo ID can be a valid Passport or a Driving License. For proof of address we would need a utility bill dated within the last 3 months.

If Mr & Mrs Taylor are not from the UK or European Economic Area, they will need to show additional proof of their Right of Residency, which can be discussed with their Lettings Consultant.

STEP FOUR: Notification of Letting

After getting home from an exciting day of viewings and securing their chosen property, Mr & Mrs Taylor will have a chance to review all the details of their prospective letting on a document called the Notification of Letting. This will be emailed to them by their Lettings Consultant, via Docusign, a secure online electronic signing service. They need to keep an eye out for this as they will need to read through this document carefully to make sure all the details are correct. Depending on their email settings, they may need to check their junk email box if they think they have not received it!

STEP FIVE: Referencing

All of Thornley Groves’ referencing is carried out by our external provider Let Alliance. Mr & Mrs Taylor will receive an email with a link to an application form asking for previous address history and for their current Employer and Landlord’s contact details. It is imperative that these forms are completed ASAP as any delays can lead to the start date of the Tenancy being pushed back!

Once Let Alliance are in receipt of these forms, they will start contacting Employers and Landlords to obtain references. At times they may need help from Mr & Mrs Taylor. This could involve Mr & Mrs Taylor providing bank statements, payslips, self-assessment forms or a copy of their previous Tenancy Agreement. If they have been asked for these documents, they must be provided as Let Alliance cannot complete the reference without them. It can take about seven days to collate all of this information and to prepare the reference report to be sent to us.

Once we have the report, the Lettings Administrator will be in touch with Mr & Mrs Taylor to let them know the good news!

STEP SIX: Preparing and Signing the Documents

Now that we have the “Green Light” from Let Alliance, we are able to confirm the definite start date of the Tenancy Agreement and begin preparing the documents for Mr & Mrs Taylor to read through before signing. These are usually prepared about one week before the start date of the Tenancy to ensure as few changes as possible are required and will be sent to Mr & Mrs Taylor via email, for electronic signing, again via Docusign. Once the documents are signed and received, Mr & Mrs Taylor can book a time to come into the office on move in day to collect the keys.

STEP SEVEN: Completion

Move in day is finally here!

Mr & Mrs Taylor can come into the office to pick up the keys and sign the last few pieces of paperwork. This whole process takes about 15-20 minutes to make sure everything is signed correctly and that Mr & Mrs Taylor have all the information they need to move into their new home! In their ‘Move In Pack’ they will find details of either the Property Management Team if the property is managed, or the details of their Landlord for those properties not managed by us, who they should liaise with directly for any enquiries after move in day.

STEP EIGHT – Over to You!
